The checks
Ten fixed checks, not a model’s opinion.
Every sentence goes through all of them. They are plain rules that test it against your own words.
Each sentence is tested for
- Quote
- The quote appears in what you said.
- Numbers
- You spoke or typed each one.
- Defect words
- “Crack”, “damp” and “leak” appear only if you said them.
- Degree words
- “Minor” and “urgent” are yours, never ours.
- Places
- Direction and position words, such as left, right, near or above, appear only if you said them or match the area you were in.
- Assurances
- Words like “safe to occupy” or “compliant” appear only if you said them.
- Hedges
- If you were unsure, the sentence says so.
- Negation
- “No” and “not” appear only if you said it was fine, or that you did not check it.

- Every sentence points to your own notes.
The whole report is tested for

When they run
When the draft is written, again just before the second reader looks, and again whenever a person edits a sentence.
When one fails
The sentence is replaced by the plain wording of your own notes and flagged for you. The report cannot be approved until you have looked at it.
What they need
No database and no network. They are fixed rules that read the sentence and the notes it cites, so the same sentence always gets the same answer.
Limits
What Walknote AI is never sent, and what the checks stop.
Each line here is something Walknote AI never receives or never does.
Never sent
What stays out of every step.
- Client names, occupant names, phone numbers and email addresses from your records go into no prompt.
- The drafting step sees only your notes, each with your exact words. It never sees the recording, the photos or the transcript.
- Music, other voices and noise are not kept as text. They are tagged, and no words are stored.
- A recording with no sound at all is never sent.
- Photos reach Walknote AI only as reduced-size copies, and only to help match a photo to a note: to rank the notes it could belong with, or to answer yes, no or unclear about one note.
Your own words go in as you said them, so a name you speak aloud stays in them.
Built to stop
What the checks are built to stop.
- Writing a caption or a finding from a photo. Walknote AI is never asked to.
- Keeping a quote that is not word for word.
- Adding a number, defect word, degree word or place you did not say.
- Stating a promise you did not make, such as “safe to occupy”.
- Turning silence into a pass. Anything you did not mention reads exactly: Not recorded.
- Approving or sealing a report. You approve by name, and sealing waits while anything is open.
Safety rails

One fences the words Walknote AI reads, one caps daily use, and one flags photos that do not fit the visit.
Recorded words are data
Anyone near the phone can be recorded, so a recording could say anything, even “ignore your rules”. Once your recording is turned into text, those words are fenced between markers. Any copy of the markers inside them is altered, so it cannot close the fence.
Walknote AI is told that text inside the fence is data to work on, and never an instruction.
A daily cap, by plan
Each organisation has a daily Walknote AI allowance set by its plan, and the whole service has one too. Past a cap, listening, note-taking and checking wait and resume by themselves the next day. A draft written after the cap is reached is made from the plain wording of your own notes, and photos are matched by timing and the marker button alone. Nothing already captured is lost.
Photo trust checks
Every stored photo gets four checks: its place against the site’s pin (when the site has one), its time against the visit, its sharpness, and whether it is nearly the same picture as one from another visit.
They add small flags for the reviewer. They never block approval, and none of them calls a photo verified: a pass means nothing was found, not that something was proved.
Questions
People ask these most.
It is built not to. A sentence may only restate what the notes it cites hold. Fixed checks test every defect word, degree word, place, number and assurance in it against your own words, and a second reader compares it with them. A sentence that fails is replaced by the plain wording of your notes and flagged for you. Some invented claims can still get through in our tests, so you read the draft before you sign.
Only to help match a photo to a note. Walknote AI may be shown a reduced-size copy of a photo to rank the notes it could belong with, or to answer yes, no or unclear about whether it fits one note. A suggestion is never placed on its own, and a no can only lower a match. It never writes a caption or a finding from a photo. A photo that fits no note stays as evidence, marked no note recorded.
That stretch is marked as another voice, music or noise, and its words are not kept as text. Only your own words go on to become notes, so it can never become a finding.
Once it is text, it is fenced as data and Walknote AI is told never to follow it. Any sentence that came from such words must still pass the fixed checks against what you said.

It runs in the cloud, not on your phone. A step is sent only what it needs: the clip, or your notes, or a reduced-size copy of a photo. No client names, occupant names, phone numbers or email addresses from your records go with it. That can happen outside Nigeria and outside Africa.
